Terms and Conditions 2010
DEPOSIT AND FINAL PAYMENT: ((i) $500 per person is required at time of booking for cruise and land tour; (ii) $100 per person is required for flight booking. Written confirmations are sent only after the deposit has been received. Full payment is due no later than 90 days before departure. It is not incumbent upon GLP Worldwide Expedition Travel & Tours (“GLP”) to remind passengers or their agents of the final payment due date and non-payment by the due date may result in the reservation being cancelled. REVISION FEES: A handling fee of $50 per transaction is charged for any alteration or revision made to a reservation after initial confirmation. Spelling corrections to client's names after tickets have been issued will be subject to airline revision fees. Courier delivery costs apply if any changes are made within five weeks prior to departure. A change of date or itinerary within 120 days of departure will be treated as a cancellation and new booking; in this case regular cancellation fees apply. CANCELLATION CHARGES: In the unfortunate event that you cannot travel and need to cancel, please notify GLP in writing immediately. No cancellation will be accepted until it is received in writing and the date of cancellation is based on the date of receipt of such written notice of cancellation. If GLP has already issued the airline tickets, they must be returned to GLP before they can be cancelled. Cancellation charges are as follows: For cancellations received more than 121 days before departure: full deposit less $200. For cancellations received 120-90 days before departure: full deposit. For cancellations received 89-60 days before departure, 35% of the total price. For cancellations received 59-30 days before departure, 50% of the total price. For cancellations received 29-7 days before departure, 80% of the total price. For cancellations received 6 days or less before departure, 100% of the total price. Cancellation charges listed also apply to port charges, upgrades and transfers. No refunds will be made for unused services once travel arrangements have commenced. If after returning from the cruise you wish to inquire about any cruise services provided, please ensure that all correspondence relating to those services is received by GLP within 30 days after the cruise completion. AMAWATERWAYS reserves the right to cancel, change or postpone any departure date and itinerary and in the event of a complete cancellation of an itinerary, the liability of GLP and AMAWATERWAYS shall be limited to a full refund of the monies paid to GLP for the tour. PASSPORTS AND VISAS: A valid passport is required of all travellers. It must be valid six months after return to Canada. Canadian citizens require visas for Russia and Turkey. For tours requiring visas for Canadian citizens, detailed visa information will be mailed or faxed. However, it is the traveller's ultimate responsibility to ensure that he/she has the correct documents required for travel to any given itinerary. Travellers are responsible for obtaining all visas and entry documents. Non-Canadian citizens must consult with the appropriate consulates to determine if any visas are needed. GLP and AMAWATERWAYS are not responsible for delays or missed portions of your cruise/tour arising out of incorrect travel documents or visas. TRAVEL DOCUMENTS: Travel documents, including air tickets, are sent by regular ground delivery approximately 3-4 weeks prior to departure, providing full payment has been received. DISABLED PARTICIPANTS: Any disability requiring special attention must be reported to GLP at the time of booking. GLP will make reasonable efforts to accommodate the special needs of disabled cruise participants, but is not responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers. Tour buses are not equipped with wheelchair ramps and cabin doors are not wide enough to allow access by standard wheelchairs. Wheelchairs and walkers cannot be carried on tour buses, due to space limitations. Wheelchair passengers should be aware of these limitations. For safety reasons, passengers in wheelchairs cannot be carried on ramps in ports where the ship is at anchor. We regret that we cannot provide individual assistance to a tour member for walking, getting on/off tour buses and other transportation vehicles, or other personal needs. A qualified travel companion must accompany travellers who need assistance. MEDICAL: Amadeus Waterways does not employ doctors or nurses onboard its vessels (except in Russia). Should you require medical attention, local medical services can be contacted immediately. You are responsible for any and all charges resulting in either visiting the medical services or they visiting you. Neither GLP nor AMAWATERWAYS are responsible for the type or quality of medical services that you may receive. PRICES: Unless specifically indicated otherwise, all prices are per person based on double occupancy of a cabin or a standard hotel room. They are based on foreign exchange rates known as of August 2009 and expected to be in effect at the time of departure. In the event of an increase in any of the cost factors, including airfares, taxes or other surcharges, GLP Worldwide Expedition Travel and Tours reserves the right to increase the price whereby the provisions of the Travel Industry Act shall prevail. AIRFARES: Airfare inclusive prices listed in this brochure are based on an Air Canada tour contract from Toronto in Q class or Lufthansa tour contract from Toronto in V class, and subject to space availability. Upsell surcharge will apply in the case of using a higher level of fare base such as V or H classes. Add on airfares from other cities as shown are also based on Q class availability. Please check with your reservation agent at the time of booking for the appropriate class of airfare from your gateway. Taxes, airport fees, surcharges and other airfare related charges are not included in the prices shown (see page 84 for estimates). Airfares, air taxes and related surcharges quoted on your invoice or by a reservation agent are only guaranteed once full payment is received by GLP Worldwide Expedition Travel and Tours. GLP Worldwide and AMAWATERWAYS are not responsible for any costs resulting from lost air tickets, delays, disruptions or cancelled flights, lost baggage or missed connections. TRANSFERS: Passengers purchasing transatlantic airfare from GLP Worldwide will receive a group transfer on both the scheduled arrival between airport and ship/hotel and departure day between hotel/ship and airport. While every effort will be used to transfer you promptly, please note that there may be some waiting time at the airport. For passengers making their own air arrangements, transfers are available for purchase through our reservations department. Alternatively, you must make your own way to/from the ship or hotel on the embarkation and disembarkation days. ACCOMMODATIONS: The hotels listed (if any) in this brochure will be used on almost all departures. If a change becomes necessary for any reason, hotels substituted will be the equivalent of those shown. Please note that it is standard policy that hotel rooms are not available for check-in before 3:00 p.m. SMOKING POLICY: For the comfort of all cruise participants, smoking is only permitted on the sundecks and outside walkways of the river cruise ships. Smoking is not permitted on motor coaches. CRUISE ITINERARIES: Deviations to the planned cruise itineraries are possible, although every effort will be made to keep them as they are shown. All cruise routes are subject to change without notice. Should conditions render cruise routes unsafe for navigation, alternative services may apply, including but not limited to, accommodation on the docked ship and/or substitute ground arrangements. We will make every effort to ensure that the places visited, excursions operated and hotel/ships featured are as similar as possible to the ones originally planned. Any resulting changes will not result in a refund for the original services and all cruise routes are subject to change without notice. BAGGAGE: Please check with the appropriate airline regarding airline baggage allowances. In most cases airlines allow 2 bags per person to be checked in. No responsibility is accepted for loss, damage or delay to passenger's luggage. Baggage insurance is recommended. NOT INCLUDED IN PRICE: International Air Transportation Tax; Agricultural Tax; Security Fee; airport taxes; fuel surcharges, passports, visas; vaccinations; gratuities on cruise ships; laundry, beverages and food not on the regular table d'hote menu; optional excursions; all other items of a personal nature. RESPONSIBILITY: GLP Worldwide Expedition Travel and Tours (hereinafter referred to as the “Operator”) is responsible to you in making arrangements for the services offered in this brochure. Airlines, cruise lines, hotels and other suppliers providing services are independent contractors and are not principals, agents, employees, owners or partners of the Operator or its affiliates. The cruise participant agrees that neither the Operator nor its affiliates shall be liable for any damage, loss (including personal injury, death, and property loss) or expense occasioned by any act or omission of any supplier providing services, or any insurer or insurance administrator, or of any other person. If the services included in the cruise cannot be supplied or there are changes in an itinerary for reasons beyond the control of the Operator, the Operator will arrange for the provision of comparable services, when possible. Any resulting additional expense will be payable by the cruise participants and any resulting saving will be refunded by the Operator to cruise participants. The Operator reserves the right to accept or reject any person as a cruise/tour participant, to expel any cruise/tour participant from the cruise/tour, to make changes in the itinerary whenever the Operator deems it necessary for the comfort, convenience, or safety of the cruise/tour participants, and to cancel a cruise/tour at any time. No person, other than an authorized representative of the Operator, by a document in writing, is authorized to vary, add, or waive any term or condition in this brochure, including any term or condition set forth in the preceding provisions. AGREEMENT: Payment of deposit and/or issue of final documents shall be deemed your consent to the terms and conditions herein. Passengers are advised that all transport onboard ship is provided subject to the terms and conditions of the passenger contract that you will receive with your final documentation. The passenger contract is governed by the law of Switzerland and is subject to the limits of liability and claims laid out under the Athens Convention relating to the Carriage of Passengers and Their Luggage by Sea, 1974 and the International Convention on Limitation of Liability for Maritime Claims. Any disputes arising thereunder will be litigated exclusively in the courts of Basel, Switzerland.
